Data Retention Policy

1. What this covers
This page explains how long Aicentic keeps different categories of data, and what happens to it after your account or a specific record is deleted. It supplements our Privacy Policy, which covers what we collect and why.
2. While your account is active
We keep your account, agent configuration, datasources, conversation history, and billing records for as long as your account remains active -- there is no automatic expiry on data you're actively using the Service to generate.
3. When you delete something
Deleting an agent, datasource, or other record marks it deleted immediately (it stops appearing anywhere in the product and stops being used to answer conversations), then is permanently and irreversibly erased from our systems after a 30-day grace period. That window exists so an accidental deletion can still be recovered by contacting support before the 30 days elapse -- after that point, recovery is not possible.
4. When you close your account
Closing your account starts the same 30-day grace period for everything tied to it -- agents, datasources, conversations, leads, and workspace data. Billing records are the one exception: we keep those for the period required by applicable tax and accounting law even after the rest of your data has been erased.
5. Database backups
Routine database backups are encrypted and retained on a rolling basis (currently the last 7 days) for disaster-recovery purposes, independent of the deletion timeline above. A record erased under section 3 or 4 is removed from every new backup taken after that point, but may still exist in an already-taken backup until that backup itself ages out and is deleted.
6. Logs and metrics
Infrastructure logs and monitoring metrics (request logs, error traces, performance data) are retained for a shorter operational window -- typically 30 days -- used only to diagnose issues and keep the Service running, then deleted.
7. Requesting earlier deletion
You can request that we erase specific data before its normal retention period ends by contacting info@aicentic.com, subject to any legal obligation we have to keep it longer (e.g. billing records).
